Vendor and Exhibitor Information

The Society of Southwest Archivists is pleased to invite Vendors and Exhibitors to its 2009 Annual Meeting in Shreveport, Louisiana, held at the Sam’s Town Hotel and Casino, May 20-23, 2009. Vendors and Exhibitors are very important to our organization, and we are working to create a dynamic space that will ensure that our members will have many opportunities to meet with each vendor.

Shreveport Fruit Stand The unique facilities at Sam’s Town will allow exhibitors to set up their displays in the center of the secure conference area, which will allow for constant foot traffic and also provide a safe area to leave exhibits overnight.

Each exhibitor fee will include a table, two chairs, an electrical outlet for Friday (with setup available Thursday afternoon), entrance into the main reception Thursday evening at Shreveport’s famous Municipal Auditorium (www.stageofstars.com), and a listing in the meeting program. Ads in the program can be purchased for an additional fee. The Local Arrangements Committee has secured a reduced rate of $100.00/night at Sam’s Town, which offers comfortable guestrooms, numerous dining opportunities, and casino facilities.

In keeping with our steamboat theme “Into the Future Full Steam Ahead” we have several different sponsorship levels.

Sponsors are entitled to different rewards at each level:
Captain - $1500:
  • Name and Logo featured on the SSA website for 90 days after the meeting
  • A direct link to your website from the SSA Shreveport website
  • Brochure featured in the registration bag given to each meeting attendee
  • Name and Logo prominently featured in the exhibits area and in the plenary meeting area

Other Sponsorship Opportunities

If you would rather directly sponsor an event or item, SSA welcomes all contributions toward making the annual meeting a success.
Opportunities include:
  • Conference registration bags (ca. $500-600) given to each attendee upon registration. Sponsor can prominently display their logo on each bag, making it an excellent advertising opportunity. The Local Arrangements Committee will choose the bag and vendor, unless the sponsor has a trusted and preferred vendor. The LAC must approve bag selection and design.
  • Name badge holders (ca. $400) required for each attendee at all official events. Sponsor can prominently display their logo on each badge holder. The Local Arrangements Committee will choose the badge holder and vendor, unless the sponsor has a trusted and preferred vendor. The LAC must approve badge holder selection and design.
  • Vendor passport ($300) for each attendee. During the Friday vendor breaks, attendees will visit each vendor and receive a stamp. The passports will then be entered into a prize drawing at the business breakfast Saturday morning
  • Wednesday evening reception – light refreshments and drinks on the hotel terrace overlooking the Red River.
  • Morning and Afternoon coffee and snack breaks on Thursday and Friday.
  • Thursday evening dinner reception at the famous Municipal Auditorium (www.stageofstars.com), home of the Louisiana Hayride. Company logo will be prominently displayed at the reception and printed on each attendee’s reception ticket.
  • Promotional items in the registration bags – pens, pencils, notepads, water bottles, candy, postcard, brochures, etc.
